Hancock Town Library Trustees Minutes
September 25, 2013

Present: Peter Ryner, Mary Garland, Laurie Bryan, Amy Markus, Eric Spitzbarth, Hunt Dowse

Minutes from July meeting were approved.

Trustee of Trust Funds, Hunt Dowse, provided an update on the town held library trust funds. Income from investments has continued to decline. This year the library took $16,000 from the trust funds to support operating costs. In order to cover this, some principal was taken from the Brooks Fund. Next year we should budget $12,000 income from the trust funds – a decrease of $4,000 from this year.

Amy will develop a draft budget for 2014 which will be reviewed at the October trustees’ meeting. Discussion will focus on how to manage the $4000 reduction in trust fund income.

A meeting will be set up with Mike Wrenn for this fall to discuss the library trustee held trust funds. November is likely the best month for this meeting.

Cleaning the existing carpet worked very well and the trustees agreed that we don’t need to replace the Daniels Room carpet at this time. Amy will follow up with Cardoza Carpet to have the carpet on the stairs replaced.

We need to move ahead with a new sign for the front of the library. Peter will get sign quotes and information to Amy. Trustees authorized Amy to move ahead with updated sign.

There was no Treasurer’s report for this meeting.

Director’s Report:

Amy is still researching the best computer system to replace our current Infocenter system. Currently she feels Alexandria is the best choice.
Quotes for replacement of the Daniels Room furnace were received from Allen and Mathewson and Hixson’s Heating Service. Hixson’s quote of $3400 was the lower bid and the trustees voted to move forward with having Hixson’s replace the furnace. Amy will contact Rodney.
Plans for the volunteer recognition and appreciation event were discussed. Event will be held in November. Amy is working on the details.
Amy reviewed the broad selection of upcoming programs for October and November.

Next meeting will be October 23 at 1 pm.
