Library Trustee Minutes, May 28, 2014


Present: Laurie Bryan, Amy Markus, Suzanne Shevenell. Eric Spitzbarth
Absent: Mary Garland

Meeting called to order at 1:10 pm.
The April 30, 2014 public and non-public minutes were reviewed, and unanimously approved as written upon a motion by Bryan, seconded by Shevenell.
The Treasurer’s report was reviewed. Director Markus noted that the Library had been reimbursed from NHHC for a recent adult program. The Trustees asked Director Markus to review both the Bldg & Grounds, as well as the Fuel Oil categories, to ensure proper posting of expenses to these accounts.  With note made to review these items, Shevenell made a motion to accept the Treasurer’s report, seconded by Bryan, and the report was accepted.

Director’s Report:
Markus is reviewing with the Town Administrator the budgeted wages for the Saturday staff and will report at the next meeting on the findings.
She summarized the up coming Library’s Thursday Evening programs, including the Summer Reading Program Kick Off on June 19th, and its finale on August 7th.  Further information about the Library’s upcoming programs can be found in the monthly Hancock Happenings.
Apollo ILS Update:  New patron cards have been ordered, as the next step in this conversion.

Library Policy Review:
Nook Policy: A draft of this policy was given to the trustees for their review.  Markus noted that there have not been many requests by patrons to use this device.  Any future requests for the Nook’s use will be directed to the Library staff.  Upon a motion made by Bryan, seconded by Shevenell, the Nook policy as presented was unanimously approved.
Personnel Policy and Job Description Review: Current Job descriptions will be revised to include flexibility in hours worked, per pay period, by non-exempt staff, as approved by the Director.
Future specific policy review will include Volunteer and the Daniels Room Policies to conform to updated Town policies.
New policies to be established will include a Patron Behavior Policy, and an Unattended Children policy.

Building Light Bulbs: The Trustees asked Mr. Spitzbarth to approach the Select Board for assistance by Town maintenance personnel in dead light bulb removal from the Library ceilings.  This request is being made to limit potential liability issues to both the Town and the Library.

The next Trustees meeting will be at 1pm on June 18, 2014.
Shevenell made a motion to adjourn, seconded by Bryan, and the May meeting was adjourned at 2:15 pm.
